How Much to Charge for Sublimation Tote Bags

Price sublimation tote bags by separating blank quality, print coverage, setup, side-specific labor, failure risk and order-level costs.

The second printed side is where many tote quotes quietly break. Anyone asking how much to charge for sublimation tote bags first has to say which bag, how many sides and how much artwork. A thin event blank with one repeated logo is not the same job as a lined gift tote carrying two photographs and a name.

Once the product is defined, revenue can be solved from:

required revenue = (complete order cost + fixed fees) / (1 - target margin - variable fee rate)

One side, two sides, or two different jobs?

A usable product record names the material, size, handle style, lining or closure, printable area, printed sides, packaging and personalization promise. Epson’s maker guidance says conventional dye sublimation is designed for polyester fabric or polymer-coated hard goods and recommends white or light-colored polyester fabric. Fiber content and base color therefore affect whether two bags are comparable.

The quote should answer:

  • Is the print on one side or both?
  • Does each side use the same artwork?
  • Is the design ready to print, edited from customer artwork or created from scratch?
  • Are names, dates or photographs changed on every bag?
  • Is the bag sold loose, folded with a band, or packed as a gift?
  • Is the order one unit, a set, or a larger identical run?

A two-sided personalized tote can require two transfers, two positioning steps and per-unit file checks. Calling it “the same bag with another image” hides production work.

Cost the bag that reaches the press

The material record begins with the landed cost of a usable blank, including supplier freight or import charges when they materially affect the unit. Each printed side brings its own paper and ink, followed by protective paper, heat-resistant tape when used, any allocated insert or pressing pillow, and the retail packaging.

Reusable tools should be allocated, not charged at full purchase price to one order. Disposable protective sheets or paper used once belong directly to the attempt. If four small tote designs fit on one transfer sheet, divide the usable sheet cost across four; if a full-coverage bag consumes two large sheets, enter both.

Epson notes that ink yield varies with images, print settings, paper, use frequency and temperature. A light chest logo and an edge-to-edge photograph should not automatically receive the same ink allocation. Track real replacement cycles or group jobs into defensible coverage bands.

For a two-sided bag:

attempt materials = landed blank + side A ink/paper + side B ink/paper + disposables

Packaging used only after inspection sits outside the attempt figure. That separation makes failed-production cost easier to understand.

A clean bag has to pay for the rejected ones

The expected material cost of one good bag is:

attempt material cost / (1 - expected failure rate)

Suppose one-sided attempt materials total $4.10 and the measured failure rate for that blank and print size is 4%. Expected material cost per good unit is $4.10 / 0.96 = $4.2708 before rounding.

A comfortable selling price is not evidence for a failure rate. The log should name damaged blanks, alignment, transfer marks, color issues, seam interference and second-side problems separately. Inspect before packaging. For two-sided bags, check both prints, orientation, handles, seams and any name spelling against the approved order. The inspection time is labor even when the bag passes.

Why the second side is not free

Tote labor may include order review, artwork setup, lint removal, measuring, inserting a protective sheet, positioning, pressing, cooling, turning, repeating the process for a second side, inspection, folding and packing.

The labor line is:

labor cost = ((order setup minutes + active minutes per bag x quantity) / 60) x hourly rate

If a second side adds six active minutes, enter those minutes. Do not assume the second side costs nothing because the blank is already on the table. Conversely, do not charge an unattended press cycle twice when the operator works on another unit during that time. Personalization may sit in setup, per-unit time or both. One wedding design with 30 different names requires a master layout plus 30 name checks. A batch of 30 identical event bags may spread the same layout time across all units. Write the proof and correction allowance into the quote so the labor model matches the customer promise.

Give the press and workspace one home in the quote

Allocate printer and heat-press wear with one documented method. A shop may use a per-press allocation, an equipment pool divided by expected productive jobs, or another consistent method. Do not include the full press purchase price in one tote, and do not charge the same equipment again inside an overhead percentage.

Overhead can include the workspace, software, maintenance, insurance and administrative support required to operate. IRS Publication 334 recognizes materials, labor and allocable overhead as manufacturing cost categories. That is support for recording the costs, not tax advice and not a prescribed tote-bag markup.

The SBA break-even guide separates fixed and variable costs. For a large event order, setup and artwork behave like order-level fixed costs, while blanks and per-bag pressing behave more like variable costs. Preserving that split helps a larger identical run become cheaper per unit for a real reason.

What a twenty-bag event order looks like

Expected attempt materials for 20 good totes are $4.10 x 20 / 0.96 = $85.4167. Labor time is 35 + (7 x 20) = 175 minutes, which costs $64.1667 at $22 per hour. Packaging costs $9.60. Full order cost is:

$85.4167 + $64.1667 + $9.50 + $9.60 = $168.6834

Required customer revenue is:

($168.6834 + $0.30) / (1 - 0.32 - 0.03) = $259.9745

Displayed revenue is $259.97, or $13.00 per tote before separately collected sales tax. This is the amount required by the stated cost, fee and margin assumptions. It is not a claim about the average market price.

If the buyer wants printing on both sides, rebuild the input rather than adding an arbitrary flat amount. Add the second transfer’s ink and paper, its active positioning and press time, and any change in the observed failure rate. If every reverse side is personalized, add the per-unit file and verification time too.

The setup cost changes shape in a batch

A single tote carries nearly all artwork, communication and setup itself. An identical run spreads those order-level costs. The right volume discount comes from recalculating the larger batch, not taking a percentage off the single-unit price.

  • the actual blank price at that purchase quantity;
  • one-time artwork and setup allocation;
  • active batch labor and any workflow improvement;
  • failure rate supported by that process;
  • packaging, labeling and sorting requirements;
  • the margin the business is willing to accept.

A school or event order may require individual bags, names or distribution labels even when the artwork looks uniform. Those fulfillment tasks can grow with quantity and should remain visible.

When a cheaper tote is not the same product

After calculating the required price, compare with bags sharing the same material, dimensions, printed sides, customization, packaging and order size. The SBA’s market-research guidance recommends examining demand, market saturation and what customers pay for alternatives. It does not tell a seller to copy the lowest visible listing.

If comparable offers are below your floor, investigate the cause. A competitor may use a different blank, buy at a higher quantity, omit design service, sell without gift packaging or accept a different margin. Your own workflow may also be too slow for the offer. The comparison should lead to a decision about scope, process or positioning, not an unexplained deletion of labor.

After the order, compare the planned blank quantity, transfer use and active minutes with the production record. Note whether two-sided handling, folding or individual labels took longer than expected. This short closeout converts the next tote quote from a copied estimate into an update based on the same product and workflow.

Nine fields worth keeping with the tote price

Before quoting, verify:

  • blank material, size, supplier and landed cost;
  • one-sided or two-sided print specification;
  • ink and paper for the actual coverage;
  • attempt-based failure allowance;
  • setup, personalization and active per-side labor;
  • equipment and overhead counted once;
  • folding, labeling, retail packaging and shipping materials;
  • shipping cost and shipping revenue kept separate;
  • fixed and percentage selling fees;
  • target margin and comparable-offer review.
